Privacy Policy

Introduction

Your privacy is especially important to me, and I’ll will ensure that your personal information is kept safe and secure. I adhere to current data protection legislation, including the General Data Protection Regulation (EU/2016/679) (the GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications (EC Directive) Regulations 2003. This privacy notice tells you how and why your information will be processed from the initial contact through to after counselling has ended.

How I use your information

Initial contact

When you contact me to enquire about counselling or counselling supervision, I will collect and record your name, telephone number and/or email address. Should you decide not to proceed with counselling or counselling supervision, I will ensure that your personal data is deleted within one calendar month. If you would like to delete this information sooner, please let me know.

While you are accessing counselling or counselling supervision

When you begin counselling or counselling supervision, I will collect, record, and store your personal information which includes your name, address, contact details and, in respect of counselling, your GP practice. I will also record assessment information, and this will be stored separately under an identifying code.

I will make brief factual notes following each session and these will be stored, using an identifying code. The notes will be stored either digitally with password protection or in a locked filing cabinet.

Everything that you discuss with me is confidential and this confidentiality will only be breached in the following circumstances:

  • Where there is an ethical duty for me to do so, for example when there is a significant risk of serious harm to you or others.
  •  Where there is a legal requirement for me to do so, for example a court order.

I will always try to speak to you about this first unless it is considered that this may cause you are others serious harm.

In exceptional circumstances your contact details may be shared with my supervisor in the event that I am incapacitated, so that they can contact you to explain the situation.

To help the counselling sessions run smoothly, your name and contact details will be held digitally on a computer and mobile phone for the purposes of emails and texts. Both devices are password protected. Once counselling has ended, your contact details will be deleted within one calendar month.

After counselling has ended

Once counselling has ended your personal information will be kept for 5 years and then securely destroyed. If you want me to delete your information any sooner, please let me know.

Your Rights

You have the right to ask me to rectify or delete your personal information at any time. I will address this as soon as possible upon request.

You have the right to request a copy of your personal information. Please put your request in writing to joanne.park@clockworkcounselling.co.uk
